About this policy
Effective 5 November 2026. This policy explains how Ace Padel handles your information when you use the app and its associated account and booking services, and when you submit an enquiry through the club website.
Account and usage information
When you create an account, the service stores your full name, email address, and sign-in and verification information. Your profile may also contain a phone number, profile image URL, and playing level if you provide them. Booking records include the court, date, time, duration, price, booking status, and recorded payment method. They may include match set results, a rating and comment, cancellation notes, and manual booking information entered by club staff. Current bookings are paid at the club. When you register for club events, registration and participation information is stored with your account. If you contact us through the website form, the information you submit is stored, including your name, email address, optional phone number, enquiry subject, and message.
Technical information
The service stores operational and security information, including IP addresses and browser or app user-agent information in session records, request identifiers, and operational audit records. When a device is registered for notifications, its associated delivery token is stored. The app stores session credentials and language and appearance preferences on your device.
Purposes and access
Account information supports sign-in, email verification, account recovery, session management, and profile management. Booking information supports availability, booking confirmation and administration, booking history, rebooking, and match results and ratings. Event information supports participation management. Support correspondence is used to respond to enquiries. Technical records support service administration, activity review, troubleshooting, and account access protection. Authorized club staff can access information relevant to their account, booking, event, and support responsibilities, including booking-related match results, ratings, and comments. The service uses hosting, database, and email delivery systems to run these functions and deliver account messages.
Sign-in information protection
Passwords are stored as hashes. The service uses temporary verification codes, session management, staff permission controls, and operational records to review service activity.
Updating information and deleting an account
You can update your profile and initiate account deletion from the app's profile page. Deletion requires your confirmation in the app. When an account is deleted, its account record uses replacement name and email values. Its phone number, profile image URL, and playing level are cleared, and access to the account is disabled. Account sessions, verification codes, notification device tokens, and account-specific inbox notifications are deleted. Ratings and rating comments, cancellation notes, and manual booking names and phone numbers are also cleared from bookings linked to your account. Numeric match set scores and booking times, statuses, amounts, and transactions remain associated with internal identifiers.
Records retained after deletion
Booking, transaction, event participation, and operational records remain associated with internal identifiers after account deletion. They maintain the club's booking, transaction, and participation history and support review of enquiries, operations, and security. Names or phone numbers entered for manual bookings that are not linked to your account, or earlier text in event results and audit records, may remain. Support correspondence submitted through the website is retained independently of the app account. These texts and records may still contain information that identifies you. Contact us to request a review or correction of your information, removal of information that can be removed from retained records, or details about how long a particular record and associated backups are kept. Requests are reviewed in relation to the record concerned and its connections to bookings, transactions, and other operations.
